Organizing a webinar is a lot of fun! But we have to be realistic, there’s a lot involved in the process. Drawing up a solid plan of action can be of great value. If you take some time at the beginning to write a plan, you’ll notice that the rest of the organization process will be much easier. And you’ll also run into fewer problems.

Your plan of action is a solid foundation that you keep turning back to every step of the process. And we all know: good preparation is half the battle. Webinars are no exception. So by writing down step by step what needs to happen and when you’ll eventually host a great webinar.

In this post, we’ll tell you which information should definitely be in your plan of action.

1. Webinar goals

What do you want to accomplish with the webinar? Make a list of all the goals you want to achieve. Descibe these goals:

  • S pecific

  • M easurable

  • A chievable

  • R ealistic

  • T imely

The clearer you write down your goals, the more likely you’ll accomplish them.

2. Description of your target audience

Who are you creating this webinar for? If you have clear picture of your audience, you’ll automatically adjust everything you do to suit them. For instance, the time at which you plan your webinar or the way you promote it strongly depend on your target audience. Also think about the level of the content of your webinar. This has to match your viewers’ background.

3. Webinar topic

Of course the topic of the webinar should be part of your plan of action. Try to be as specific as possible, so you’ll know exactly where you’re headed. Don’t try to solve all problems or answer all questions in just one webinar. It’s much better to focus on one clear problem or question.

4. Presentation format

Your plan of action also contains information about the format. Will you be using a webcam during the webinar? Perhaps you want to share a presentation with your viewers. Are you using PowerPoint, Keynote or another tool? Consider using already existing content, such as videos and images.

Will you be standing up or sitting down during the webinar? What should your background look like and from which location will you be broadcasting?

For a large part, the format determines the webinar’s appearance/feel. So take this into account.

5. Team composition

You’re probably not organizing your webinar all by yourself. Add a list of names and contact details of everyone involved. You can also add jobs and responsibilities with deadlines for each team member.

6. A backwards planning

Have you managed to write everything down? Do you know your goals, audience, topic, format and team? Great! Then it’s time to make a planning.

First, determine the broadcasting time and then plan back in time. That way you have a clear overview of what needs to happen in what week before the webinar, in order to meet your goals.
